Most of us usually underestimate the importance of resignation letters. In today's age of emails, letters still occupy a prominent position. A well-written resignation letter will have a positive impression on the organization and it will also serve as a written record that you have worked for that organization and have given a written notice that you wish to resign. Before you give a formal letter to your HR manager, it is best to personally inform your reporting authority that you plan to resign and then give a formal notice.

Tips for Writing Resignation Letter

• It should state your intention that you wish to resign and your designation in the organization.
• It should also state the exact date from which you wish to resign.
• Give a brief explanation, (if possible) for your resignation. If you are resigning because of some genuine reason, like you have to take care of your kids or you have to take up studies, then the reason is worth mentioning.
• If you are resigning because you have had some bad experiences in the organization, then there is no need to mention anything negative in your letter.
• Offer help in the process of resignation. This might include some kind of a handover of whatever you might be currently dealing with so that the person who replaces you will not have problems.
• You can also offer your cooperation in handing over the facilities provided to you by the company, like your laptop, your phone and so on.
• Write a line or two of appreciation for the organization with whom you have worked. You can also recollect some pleasant experiences from the past.
• Make all the sections brief and to the point. Do not give unnecessary details. This holds good for the appreciation section as well.
• After you finish writing, make sure that you have checked that your letter does not have any mistakes. Read it again and check if your letter gives a positive impression.
• Find out if your company has a formal procedure for resignation. This will help you to avoid any hassles.
